This Privacy Policy explains how we collect, use, store and protect your personal information in accordance with the Data Protection Act 2018 and the UK General Data Protection Regulation (UK GDPR).

Louise Benson School of Dance is the Data Controller for the personal information you provide. We take appropriate technical and organisational measures to keep your information secure and to prevent unauthorised access, loss, misuse or disclosure.

WHAT PERSONAL INFORMATION WE COLLECT

When you register for classes, workshops, holiday activities, examinations, performances or any other activities with Louise Benson School of Dance, we may collect your child’s name, date of birth, parent or guardian’s name (where applicable), home address, email address, telephone number, emergency contact details and relevant medical information, allergies or additional support needs.

WHAT PERSONAL DATA WE HOLD ON YOU

 Personal data means any information about an individual from which that individual can be identified.

We collect, use, store and transfer some personal data of our students [and their parents or guardians].

You provide information about yourself when you register with the Dance School, and by filling in forms online, or by corresponding with us by phone, e-mail or otherwise.

The information you give us may include your name, date of birth, address, e-mail address, phone number, gender, and the contact details of a third party in the case of emergency. We may also ask for relevant health information, which is classed as special category personal data, for the purposes of your health, wellbeing, welfare and safeguarding. Where we hold this data it will be with the explicit consent of the student or, if applicable, the participant’s parent or guardian.

Where we need to collect personal data to fulfil School responsibilities and you do not provide that data, we may not be able honour or administer your membership of the school.

We may also collect payment information, which is processed securely through our payment providers.

Medical information is classed as Special Category Data and is only collected where necessary to ensure the health, wellbeing, safeguarding and safe participation of our students. This information is collected with your explicit consent.

If you choose not to provide information that is necessary for us to safely deliver our services, we may be unable to accept or continue your registration.

WHY WE COLLECT YOUR INFORMATION

We collect and use your information to process registrations and payments, deliver dance classes, workshops and holiday activities, organise performances, showcases and events, and communicate important information about classes, workshops, performances, timetable changes and other school activities.

Where applicable, we also use your information to enter students for examinations with the Imperial Society of Teachers of Dancing (ISTD), Acrobatic Arts and the London College of Music Examinations (LCME), and to apply for Body of Persons Approval (BOPA) licences or any other permissions required for performances.

Relevant medical information is used only to help keep students safe whilst participating in our activities.

Where you have given your consent, we may also send newsletters, promotions and other marketing communications.

We will only use your personal information for the purposes for which it was collected.

WHO WE MAY SHARE YOUR INFORMATION WITH

Where necessary, we may share relevant information with the Imperial Society of Teachers of Dancing (ISTD), Acrobatic Arts, London College of Music Examinations (LCME), local authorities where BOPA licences or other permissions are required, venue providers where required for safeguarding or emergency purposes, and trusted software or payment providers used to administer Louise Benson School of Dance.

Information is only shared where necessary and only for the purpose for which it was collected.

We do not sell or share your personal information with third parties for marketing purposes.

We may also disclose personal information where required by law or where necessary to protect the safety and wellbeing of our students, staff or others.

KEEPING YOUR INFORMATION SECURE

We take appropriate technical and organisational measures to protect your personal information against unauthorised access, loss, misuse or disclosure.

Only authorised members of the Louise Benson School of Dance team have access to personal information where it is necessary for them to carry out their role.

HOW LONG WE KEEP YOUR INFORMATION

We keep personal information only for as long as is necessary to administer your participation with Louise Benson School of Dance and to meet our legal, safeguarding and accounting obligations.

When information is no longer required, it will be securely deleted or destroyed.

YOUR RIGHTS

Under UK GDPR you have the right to request access to your personal information, request correction of inaccurate or incomplete information, request deletion of your personal information where appropriate, restrict or object to certain types of processing, withdraw consent where processing is based on consent and lodge a complaint with the Information Commissioner’s Office (ICO).

Please note that if essential information is withdrawn, we may be unable to continue providing classes, workshops or other activities safely.

CHANGES TO THIS PRIVACY POLICY

We may update this Privacy Policy from time to time. Any significant changes will be communicated to parents and students.
